Deadlines at a Glance
Display Restrictions
Each exhibit space includes a 6 ft W x 2 ft D draped table. There will also be a 70" W x 34" H tabletop display board available for use, free of charge. Diagram for dimensions of board is as seen below. The surface of the display board is a hook and loop fabric. Velcro or push pins may be used to secure your printed items. You may pick up push pins at the SmallSat store/information booth.
All University Exhibits are restricted to tabletop displays only. Noise level from any demonstrations or sound systems should not interfere with other nearby exhibits. Demonstrations or entertainment not adhering to these policies will be adjusted or eliminated.
Exhibits shall comply with all fire laws, electrical codes, and all other rules, regulations, codes, statutes, ordinances or management requests with respect to the installation, conduct, and disassembly of exhibits. Conference management reserves the right to require exhibitors to adjust materials to ensure display specifications, courtesy to other exhibitors, and to maintain tasteful displays. All exhibitors must comply with the American Disabilities Act, ensuring access to all participants. Conference management reserves the right to require adjustments to displays as necessary.
Decorator & Electrical Services
All basic University Exhibit services will be handled through conference management. A power strip and wifi will be provided by conference management upon request. Management will also provide cleaning services for aisles and hallways only. Exhibitors must provide cleaning and garbage services for booth areas.

Badge Pickup
Your badge can be picked up at registration. Please wear your badge at
all times — it is your access to the exhibit hall, technical
sessions, lunches, side meetings, and industry events.
Meals & Breaks
- Lunches and coffee breaks are included with registration
- Food is served inside the Salt Palace
- Badge required for all meals
Exhibitor note: Exhibitors may access lunch lines starting at 12:00 PM, 30 minutes before general attendees, to help keep booths staffed during peak hours.
Parking & Transportation
Most hotels in the SmallSat hotel block are walkable.

Technical Sessions & Conference Flow
- Technical sessions take place across the hall from the exhibit in the Salt Palace
- The exhibit hall is separate from session rooms and open Monday–Wednesday
- New this year: Research & Academia technical talks will take place on Sunday
- NASA Town Hall and featured presentations are included in the main program.
- Side meetings are held in designated meeting rooms and are open to registered attendees.

Exhibit Hours
Note: Exhibits must be staffed during official conference hours (9:00 AM – 5:00 PM), except during lunch. Exhibitors may remain on the show floor until 6:00 PM if needed.
Exhibitor Move Out
Note: Crates will be delivered overnight Wednesday-Thursday; full teardown begins Thursday, August 27 at 6:00 AM

Conference Participation
All exhibit registrations are full access and include admittance to the technical sessions.
- Any exhibiting company who has not paid will be dropped on or before May 29, 2026.
- All exhibit booth staff passes are full access and include admittance to the technical sessions.
- All exhibiting organizations agree to the information in the Rules & Regulations when they register for the Conference.
- Liability Insurance in the amount of $2,000,000 is required for participation. Reference this section in the Rules and Regulations for additional insured and more information.
